EduGears AI SIS is a student information system built into EduGears AI LMS. Admissions, student records, attendance, report cards, timetables, fee records and a guardian portal sit beside the courses you already teach — one platform, one login, and no overnight sync between two systems that disagree by morning.
One platform
The part most schools glue together, already joined
A separate SIS and a separate LMS means two logins, two rosters, and a sync job somebody has to trust. Here the student record and the classroom are rows in the same database, so an enrollment is a fact rather than a message passed between systems.
Cohorts create classrooms
Put a cohort on a course and the classroom is created for it — one per cohort and course — with that cohort's students already on the roster.
Enrollment stays in step
Add a student to a cohort and they appear in the cohort's classrooms; move them out and the rosters follow. There is nothing left to reconcile afterwards.
One login for everyone
Registrars, teachers, students and guardians sign in to the same branded platform. No second system to license, host, or explain to staff.

The grade on the report card is the grade in the gradebook and on the transcript — the same figure, not a copy that quietly drifted.

Admissions through to transcripts, each part built as a record with a history behind it — so you can always answer who changed what, and when.
Student records
Profiles, student numbers, and lifecycle status with the history behind it: every change dated, with the reason it was made. Guardians are linked to the students they belong to, and every read and write of personal data lands in an audit log.
Academic structure
Academic years, terms, programs and cohorts give the year its shape. The cohort is the unit everything else hangs off — timetables, registers, report cards, and the classrooms in the LMS.
Attendance
Session registers per cohort, switched on per cohort or for the whole organization, with summary views by student and by session — and at-risk signals fed by the registers your teachers actually take.
Report cards & transcripts
Per-term report cards carrying grades and comments, frozen into a snapshot at sign-off so a published report never changes underneath you, with PDF export and print templates for the paper copy.
AI assistance
An at-risk panel explains in plain language why a student is flagged, and report-card comments can be drafted with AI. The drafts stay drafts: a teacher or registrar reads, edits and saves them — nothing is finalized or sent on anyone's behalf.
Admissions
A public application form for your school, pipeline stages with an audited timeline, offer letters as PDFs, and one click to turn an accepted applicant into a student with their record intact.
Timetabling
A weekly schedule grid per cohort with clash detection across cohorts, teachers and rooms, plus a timetable view each instructor can open for their own week.
Fees
Invoices, part-payments, balances and issue-date views, kept as records. This is the school's book of what was billed and what has been received — a record of payments, not a way to take them.
Guardian portal
Parents and guardians sign in to a portal of their own: each child's attendance, report cards, fees, timetable and coursework, school forms to fill in, and messages from the school.

Guardians get their own portal login — not a shared staff account, and not a PDF emailed once a term. It shows the children linked to them, and nothing else.

Nobody starts a school year with an empty database. Students, guardians and rosters import from CSV against downloadable templates, and every import runs as a dry run first — you read what would be created before a single record is written.
